In order to make things even faster when you create a sales invoice in Billtobox, you have the possibility of creating a product catalog.
Once created, you'll be able to choose from your catalog to quickly add products or services to the sales invoices created with Billtobox's DIY tool.
To add items to your catalog, go to your Settings > Outbound.
Then:
Add a single product
- Click on the Product Catalog tab then Add new product.
- On the next screen you can fill out your product's information:
- Product reference
- Product/service name
- Description
- Unit of measure
- Unit price/rate
- Quantity (not a stock management tool - this is used to create products sold in batches)
- VAT rate
Fields marked with an asterisk (*) are mandatory.
Once saved, the product appears in your product catalog. You can edit or delete a product anytime from here as well.
You can also add a product to your catalog from the DIY invoice creation tool by clicking the + sign:
Add products in bulk
To add a batch of products all at once:
- Download the import template (or export your existing products).
- Open the spreadsheet and fill it out with your products' information (don't forget to remove the dummy data from the first two rows):
- Name
- Description
- Price
- Unit
- Reference
- Quantity (not a stock management tool - this is used to create products sold in batches)
- VAT Code (make sure the codes you use match those existing in your account - check in Settings > VAT percentages)
- Import your filled-out spreadsheet.
- Your products are created automatically.
If an error occurred, you'll be notified through a pop-up and a notification containing more details in your alerts (accessible by clicking the bell at the top-right of your screen).
Export your existing products
- Select the products you want to export then click on Export.
- Once the spreadsheet with your products is ready to be downloaded, you'll get an alert with a download link.
This can be useful to quickly update your product catalog. After downloading the spreadsheet of your products, update the products' information then import the updated spreadsheet.
